1. Who we are
This website, vnsigningservices.com, is operated by VN SIGNING SERVICES LLC, a mobile notary and loan-signing business in Kitsap County, Washington. We are the controller of the personal information described here. The site itself is built and hosted for us by Nyza Creations LLC (Bremerton, WA), which processes data only on our instructions.
2. What we collect, and why
Details you send us through the contact form
Your name, phone number, email address, city, preferred appointment time, and the message you write. We use them for one purpose: to reply to you and arrange the signing or notary appointment you asked about. We do not use them for marketing, and we do not add you to any mailing list.
Please do not paste document contents, identification numbers, or other people's personal details into the form — a short description of the documents and where you are is all we need. If you tell us about a hospital, care-facility or accessibility situation so we can plan a visit, we use that only to arrange the appointment (see Section 7).
Technical data
When you submit the form, our server reads your IP address to limit how many messages one address can send in a short period (an anti-spam measure). That counter lives in the server's memory for a few minutes and is not written to any database. Our hosting provider keeps standard web-server logs (IP address, request time, page requested, browser type) for security and troubleshooting.
Analytics — only if you accept
We use Google Analytics 4 to see, in aggregate, which pages and services get read. It runs only after you choose "Accept analytics" in the cookie banner, in every jurisdiction; until then the Google tag is not loaded and Google Consent Mode stays denied. We have no accounts, no sign-in, no payments taken on the site, no advertising, and no social-media tracking pixels.
4. How long we keep it
Contact messages are kept as ordinary business correspondence for as long as needed to handle your request and for our records afterwards — typically no longer than three years — unless a notarial record-keeping rule requires longer. Server logs are kept for up to 30 days. Analytics data in Google Analytics is retained for 14 months and is never tied to your name.
5. Your choices and rights
You can ask us what we hold about you, ask us to correct or delete it, or object to a use of it, by calling (360) 979-9293 or using the contact form. We answer within 30 days. You can withdraw analytics consent at any time from Cookie preferences in the footer, and a browser Global Privacy Control signal is honoured automatically as an opt-out. Washington residents and visitors from the EEA, UK or California have the same rights; we apply them to everyone.
6. Security
The site is served over HTTPS only. Contact messages are transmitted to us over encrypted connections and stored in ordinary business email. No method of transmission is perfectly secure, which is one more reason not to send sensitive documents through the form.
7. Consumer health data (Washington)
We do not ask for health information. If you choose to mention a medical situation — for example that a signer is in a hospital or care facility — we use that information solely to schedule and carry out the appointment, we do not share it with anyone other than the people named in Section 3, and we delete it with the rest of the message under Section 4. We never sell it, and we do not use it for any other purpose. This is our notice under Washington's My Health My Data Act.
8. Children
The site is for adults arranging notary services. We do not knowingly collect information from anyone under 13; if you believe a child has sent us details, contact us and we will delete them.
9. Changes
When this policy changes we update the date at the top. Material changes are noted on this page for at least 30 days.
